Job Description for Administrative/Online Shop Assistant

The CA Administrative/Accounts Assistant reports to the CA Manager and is responsible for the following:

Administrative Duties

  1. Maintain CA Database records for individual members and member clubs including processing of payments for subscriptions.
  2. Maintain CA Database Cash Book.
  3. Updating accounting system using Sage.
  4. Maintain Tournament Entry Records, including processing of payments for tournaments.
  5. Maintain filing system of documents, both hard and soft copies.
  6. Maintain files of Council and all Committee minutes and distribute same in agreement with committee chairmen/Hon Sec.
  7. Maintain and develop good relations with CA members and member clubs, including answering telephone enquiries as appropriate.
  8. Assist with mailings to members.
  9. Maintain stocks of office stationery and publicity materials as agreed with the CA Manager.
  10. Maintain and supply information packs for new members.
  11. Maintain and despatch Public Liability Certificate for member clubs.
  12. Update Database from BACS reports adhering to the BACS rules.

Online Shop Duties

  1. Help to maintain the shop website, updating as and when necessary.
  2. Provide advice to customers both by email, face-to-face and by phone.
  3. Maintaining the stock control system.
  4. Ordering replacement stocks for the CA Shop
  5. Pick, pack and despatch goods.
  6. Handle complaints (e.g. broken goods, late deliveries, etc.).

Other Duties

  1. Deputise for or assist the Online Shop Assistant or Administration Officer when required
  2. Carry out other tasks that may be required from time-to-time.
