Reports allow club officers to view a summary of their membership list numbers and compare them with a past date.
Subscriber Stats (Configurable)
This report type counts the number of subscribers in each subscription type and groups them together as configured, displaying the aggregated total number of subscribers in each group. Examples might include Social and Playing.
Any number of reports can be created, each with a unique name.
Configuring or Adding A Report
Before first use, a report must be set up as follows:
- Click Report Settings and
- Select the report you want to modify, or Add New Report (and then select it):
- Give the report a name, for example, Membership Stats
- Optionally give it a heading, which will appear on the screen (and be printed)
- Select the type of subscriptions the report will be applied to - most clubs will only have People as members!
- Set a Division, which is a sub-heading used in the listing to make choosing a report easier
- Decide the categories you want in your report:
- You might want only one category that groups all membership types
- or, in a more complex club, you might want to group into categories full, country and social - you decide how you want it
- If you don't get it right the first time, it's easy to change it
- Create the categories by clicking Add New Category
- As categories are added, they appear as the legend on a button
- To update the name, or sort position, of a category:
- Click the button with the category name on
- Assign your club subscription types to categories (or move them if you are changing a report set-up):
- Tick the box next to the subscription type names
- From the drop-down control, select the category you want those subscription types in
- Click Move Selected
- Note that only subscriptions for the report's defined type are included (usually People)
- Note that subscription types not assigned to an aggregating category or group will not be included in the reported counts
- When you're happy, close the configuration window and select your report, which will display it
- Select the report you want to modify, or Add New Report (and then select it):
Using a Report
- Select the report from the drop-down control under Use Report
- Set the dates to count the subscriptions that were active on that date for each of
- Baseline - usually Today, but could be your year-end
- Comparison - the date to compare the baseline figure with
- Click Go for a display of the summary in two columns under the dates you selected
- Select Get as CSV to download the figures to a spreadsheet program on your computer
- Note that the URL (website address) contains all that's needed to view this report, so you can send it to someone else and they will see the same as you, as long as they are authorised
Members' Handicaps
This report shows a bar chart of the number of club members with each handicap. It can be downloaded as a CSV for use with a spreadsheet package.
