Individuals receive a Gazette if their subscription type says they are entitled and they are not marked as Paperless. Self-editing allows them to become paperless and to control whether they are emailed when a new Gazette is published online.
Organisations have a field called Number of Gazettes that is used to control posting out Gazettes. The stated number of Gazettes is sent to the Main Contact of the organisation.
When a new Gazette is published online, an email is sent by an administrator to all individuals who have requested it (with a setting in their self-editable record). The list of people and their email addresses is available as a CSV download that is generated on the fly when requested.
Admin Actions
Review subscription classes (clubs and individuals) for Gazette entitlement:
- Review list of organisations with one or more Gazettes whose subscription type - or absence thereof - does not entitle them to receive it (e.g. copyright libraries)
- Review list of member organisations with non-unity Number of Gazettes whose subscription type entitles them to one (shouldn't be any)
- Review the list of organisations with one or more Gazettes that have no main contact
Create Mail Lists
The postal mailing lists (one for UK addresses and one for overseas OS) are CSV files that are generated on demand as follows:
- Columns include mailing name, address, postcode, country and a column to easily distinguish UK and "overseas" (UK/OS)
- The list includes all people with an active subscription that is not marked as paperless and whose type entitles them to a Gazette
- The main contact of organisations with a non-zero Gazette count are added and, if the person is already in the list, the counts are consolidated
- Sort on UK/OS, country, postcode and then address
- Consolidate names and counts if to the same postcode and first address line
- Two CSV files are available, based on the UK/OS column
